Terms and Conditions

How bookings, payments, changes, cancellations, and other matters work when you use our website or book our travel services.

Publication Date: November 2, 2026

“We,” “us,” and “our” refer to Your Travel Guide Co. “You” refers to the customer making the booking.

01About Us

Your Travel Guide Co. is a Philippine-based travel business registered as Your Travel Guide Tourist Transport Services and owned by The Varier Group Inc.

We provide and arrange travel services, including private tours, airport and city transfers, tour packages, flights, accommodation, visa assistance, and corporate or group travel. Some services are delivered by partner airlines, hotels, transport companies, and local tour operators.

02Terms that Apply to Your Booking

Please read these general terms and the terms for your chosen service before confirming your booking or paying.

Depending on your booking, additional rules may apply, including our Private Tour and Airport Transfer Terms, Tour Package Terms, destination guidelines, and airline or hotel rules. We will provide the relevant rules before you commit to the booking, including payment deadlines, cancellation charges, refund conditions, and service restrictions.

If a specific booking term differs from these general terms, the specific term clearly provided and agreed to before booking applies to that service. A later confirmation cannot introduce a new restriction or charge without your agreement. Your rights under applicable law always remain protected.

If you book for other travelers, make sure you have their permission and share the relevant terms and booking details with them.

03Quotes and Booking Confirmation

Your quote will state the price, currency, validity period, required payment, and payment deadline. Prices and availability may change before confirmation. If the offer changes, we will explain the change and obtain your agreement before proceeding.

Your booking is confirmed only after we receive and verify the required payment and send written confirmation. An inquiry or payment receipt alone does not confirm a booking. Any remaining balance is due according to the agreed payment schedule.

Check your confirmation carefully, including traveler names, dates, times, destinations, and services. Tell us promptly about errors. Corrections to information you supplied may depend on availability and involve charges, which we will explain before proceeding. We will correct errors we make without charging you a correction fee.

If we cannot confirm a service after receiving payment, we will offer an available alternative for your approval or return the payment for the unconfirmed service. You do not have to accept an alternative or travel credit.

04Prices and Payments

Your quote will explain what is included and excluded. Items not included may cost extra, such as meals, entrance tickets, baggage, optional activities, and additional transport.

We will disclose applicable payment fees and additional charges before you agree to pay. Any fee must be permitted by applicable law. Optional extras requested later will be priced separately for your approval.

Once confirmed, the agreed price will not increase unless you request a change or a specific price adjustment rule was clearly provided and agreed to before booking. That rule must explain the reason, how the adjustment is calculated, and any right to decline or cancel. A general statement that prices may change does not authorize an increase after confirmation.

Payments must be made through our official payment channels. Bank details and payment instructions will be provided with your invoice or booking quotation. Before paying, check that the recipient name matches the account name stated in our official instructions. Contact us through our published contact details if anything differs.

Late or incomplete payment may result in cancellation under the payment terms provided before booking. Those terms will explain any payment deadline and resulting cancellation charges.

05Changes to Your Trip

To request changes to your trip, contact us through your preferred messaging platform or email us at contact@yourtravelguide.co or support@yourtravelguide.co.

Changes depend on availability and provider rules. We will explain any price difference, change fee, or effect on your cancellation rights before you approve the change.

A requested change takes effect only when we confirm it in writing. Until then, the original booking remains in place. If a change cannot be made, you may keep the original booking or cancel under its cancellation terms.

06Cancellations and Refunds

Cancellation and refund rules depend on the service booked. Some services may be partly refundable or non-refundable. We will provide the applicable deadlines and charges before you commit to the booking.

To request a cancellation, contact us through your preferred messaging platform or email us at contact@yourtravelguide.co or support@yourtravelguide.co. The applicable terms will state the cutoff time, time zone, and how notice days are counted. We use the time your request reaches us through one of these channels, rather than the time we reply, to assess the deadline.

Cancellation terms will identify each fee, the amount or calculation method, and any non-refundable supplier costs. We will not deduct an undisclosed fee or charge twice for the same cost. If you request an explanation, we will provide a breakdown and supporting information where reasonably available.

Arriving late, missing a service, or choosing not to use part of a booking does not automatically qualify for a refund, replacement service, or credit. The relevant service terms and applicable law determine the outcome.

When a refund is due, we will confirm in writing:

  • The amount and any permitted deductions.
  • The refund method and currency, including any applicable currency conversion treatment.
  • The expected processing period and when that period starts.
  • Whether any amount depends on a supplier refund.

We will process amounts we owe directly without unnecessary delay. If a supplier refund is involved, we will pursue it, explain the expected timing, and update you if that timing changes. Supplier processing times do not remove any obligation we have under applicable law.

We will not require you to accept travel credit instead of a refund you are entitled to receive.

07Changes or Cancellations by Us or a Provider

Airlines, hotels, transport companies, and other providers may change or cancel services. We will inform you promptly after receiving relevant information and explain the effect on your booking.

A major change may include a different travel date or destination, a substantial reduction in included services, or a significant accommodation downgrade. We will explain available options and obtain your agreement before substituting a materially different service. Silence does not mean acceptance.

If we cannot provide a confirmed service for a reason within our control, you may choose a suitable alternative, if available, or a full refund of the amount paid for the affected service. You do not have to accept a substitute or credit. If the change makes the rest of a package unusable, we will assess the booking as a whole and explain your options under the agreed terms and applicable law.

For provider changes and events outside our control, available alternatives, cancellations, and refunds depend on the circumstances and applicable law. We will explain the relevant provider rules and assist with available remedies.

We remain responsible for our own errors and any responsibility the law places on us. Using an independent provider does not automatically remove that responsibility.

08Travel Documents and Entry Requirements

Each traveler is responsible for having the documents required for the trip, such as a valid passport, visa, travel authorization, or health certificate.

Requirements vary and may change. Check current requirements with the relevant embassy, immigration authority, and airline before traveling. Names supplied for tickets must match the identification required for the journey.

Visa assistance does not guarantee visa approval. Boarding, departure clearance, and entry decisions are made by the relevant airline or authorities.

If a traveler is refused a visa, boarding, departure, or entry, related booking costs follow the agreed service terms and applicable law. We remain responsible for errors we make when providing an agreed service.

09Your Responsibilities During Travel

Please:

  • Give complete and accurate booking information.
  • Arrive on time for flights, tours, transfers, and other services.
  • Keep your contact details updated and remain reachable during the trip.
  • Follow local laws and reasonable safety instructions.
  • Supervise children in your care.
  • Treat staff, drivers, guides, and other travelers respectfully.
  • Take reasonable care of your belongings and check for them before leaving.

A provider may refuse or stop a service if a traveler's behavior creates a safety risk or breaks the law. We will explain the reason and assess charges or refunds under the agreed terms and applicable law. Stopping a service does not automatically justify keeping every payment.

You may be responsible for reasonable, evidenced costs of damage caused by deliberate or careless behavior by you or travelers in your booking, to the extent allowed by law. Normal wear is not chargeable damage. Service-specific cleaning or damage fees must be disclosed before booking, and we will explain the basis of any charge.

10Health, Accessibility, and Insurance

Tell us before booking if you need mobility assistance, accessible facilities, child seats, or other arrangements. Share only the information needed to assess your requirements. We will check availability and confirm what can be provided before you commit.

Travelers should check whether they are fit to travel and meet destination health requirements. If you are unsure, seek advice from a qualified healthcare professional.

Travel insurance is included only if your booking says so. Consider suitable cover for medical expenses, cancellations, delays, and lost belongings. Check the policy's coverage, exclusions, and claim requirements. Insurance does not replace our obligations to you.

11Events Outside Our Control

Severe weather, natural disasters, government restrictions, major transport disruptions, and similar events may affect services.

We will inform you when we receive relevant information and take reasonable steps to help reduce disruption. We will explain available alternatives, rebooking, or refunds under the circumstances, provider rules, and applicable law.

These events do not automatically make every booking refundable or non-refundable. We will identify affected services and explain any amounts that can be recovered or costs that cannot be recovered. We will pass on supplier refunds due to you, subject only to deductions permitted under your agreed terms and applicable law.

12Our Responsibility to You

We are responsible for providing the services we agree to supply with reasonable care, giving accurate booking information, and helping address booking problems.

Where we arrange services through independent providers, we will take reasonable care in making those arrangements. Our responsibility for a provider's actions depends on our role, what we agreed to supply, and applicable law.

We are not automatically responsible for every delay, loss, or disruption. Equally, referring to a provider's rules or an event outside our control does not remove a responsibility the law places on us.

Nothing in these terms excludes responsibility for our negligence, fraud, or any other responsibility that cannot legally be excluded. Customer duties concerning documents, punctuality, or belongings do not excuse our own failure to meet our obligations.

13Using our Website

Use our website lawfully. Do not submit false information, attempt unauthorized access, or interfere with its operation.

Website text, photographs, graphics, and logos belong to us or are used with permission. You may view, save, or print content for personal travel planning. Other uses require permission from the relevant owner, except where law allows otherwise.

We aim to keep website information accurate and current. Booking prices and corrections are addressed in Sections 3 and 4.

Linked websites have their own terms and privacy policies.

14Your Personal Information

We use personal information to respond to inquiries, arrange bookings, and provide travel support. Depending on the requested service, this may include traveler names, contact details, travel dates, flight information, payment records, and documents required for a booking or application.

Where needed to arrange services, we share relevant information with providers involved in your booking, such as airlines, hotels, transport operators, local tour operators, and visa processing services. Some providers may be outside the Philippines.

Our Privacy Policy explains the information we collect, why and how we use it, the legal grounds for doing so, who receives it, how long we keep it, and how we protect it. It also explains your privacy rights and how to contact the person responsible for privacy matters.

If you supply another traveler's information, make sure you are authorized to share it and let them know about our Privacy Policy. Accepting these terms does not, by itself, mean agreeing to optional marketing or publicity uses of personal information.

15Questions and Complaints

If a problem occurs during your trip, contact our support team as soon as reasonably possible so we can try to help. If you could not report it immediately, explain the circumstances when contacting us.

Email written complaints to contact@yourtravelguide.co or support@yourtravelguide.co, with your booking reference, a description of the issue, and relevant supporting information. Do not send unnecessary sensitive documents.

We will acknowledge your complaint, explain the next steps and expected response time, and review it fairly. If we need more time or information, we will tell you.

Reporting a problem late does not automatically remove your rights. You may seek assistance from a relevant authority or court without first accepting our proposed resolution.

16Applicable Law and Updates

These terms are governed by Philippine law, while preserving any consumer rights that must apply to your booking.

Updates will be published with a new effective date and apply to future bookings. Confirmed bookings remain subject to the terms agreed at the time, unless you agree to a change or the law requires otherwise.

If one part cannot legally apply, the remaining parts continue to apply to the extent permitted by law.
